With iLost, you can efficiently manage the entire Lost and Found process around an event: before, during, and after. Below is a practical step-by-step guide for each phase.
In this article, we’ll guide you through setting up your iLost account and getting it up and running in just a few minutes. The account setup includes internal details, as well as information that you can share with your event visitors. Simply follow the steps below to complete the setup for your event.
1. Before the event (Preparation)
Good preparation ensures everything runs smoothly during and after the event.
🔧 Account & settings
Make sure your iLost Event account is active and up to date
iLost for Events login page, click here
Check contact details and opening hours via the account-company settings
Also add your Lost & Found team members as “Users.”
Optional: Set up storage locations and/or pickup instructions.
📍 Define collection points
Decide where found items should be handed in (e.g. Lost and found desk, info desk, security, entrance first aid)
Ensure all teams know where to bring the found items
👥 Brief your Lost and Found team
Explain how iLost works (short training or instructions)
Cover:
How to register items
What can/cannot be listed
How to handle valuable items
🏷️ Align on process
Decide:
Who is responsible for registering items in iLost
How often items are uploaded (real-time or in batches)
Clear agreements prevent confusion during busy moments
📣 Prepare communication
Mention iLost on:
Your Event website (FAQ/contact-page)
Tickets / confirmation emails
Event app (if applicable)
Social media channels: Prepare a social media post to be shared after the event, informing visitors that if they have lost an item, they can check the iLost platform for found items.

🖼️ iLost Event-page branding
You can customize your iLost Event page with your own branding! iLost offers two branding options:
Your Event logo;
A large banner image for the background;
These features allow you to personalize your Event page and make it more aligned with your brand identity. For more information, you can refer to the following article: "Configuration of your iLost page branding''.
*Please note that these components cannot be customized individually. To apply your desired branding, share the relevant files with iLost customer support.
2. During the event (Operations)
During the event, speed and clarity are key.
📥 Intake of found items
Collect items at central points (preferably one location)
Label items if needed with registration stickers(date / location found)
💻 Register items in iLost
Add found items as quickly as possible:
Clear title (e.g. Phone, Keys, Wallet, Backpack )
Internal and external item photo's
Detailed description (as controle feature)
The faster items are online, the higher the chance of a match
🔄 Internal logistics
Regularly collect and transfer items to the registration point
Maintain oversight during peak moments (e.g. end of day)
📣 Inform visitors
Use screens, announcements, or signage:
“Lost something? Check our Event iLost-page”
Optionally include a QR code that redirects people to your Event iLost page
3. After the event (After service)
Most matches typically happen after the event.
*If you are using the After Service license, please bring the found items to the local iLost office as soon as possible. iLost will then take over the complete handling of the event on your behalf; therefore, the points below do not apply to you.

Respond to visitor claims via iLost
Verify ownership (e.g. ask for item details)
Arrange shipping or pickup
🚚 Shipping (optional)
The shipping module is often included as a standard feature for events. With this module, item owners can book and pay for a return shipment via iLost.
Please instruct your team that once a shipment has been booked, the item should be packed for dispatch as soon as possible. A courier will come by your location to collect the package. In many cases, packages can also be dropped off at a parcel point.
If you would like to facilitate return shipments, please ensure you have sufficient packaging materials available, such as boxes, bubble envelopes, shipping bags, etc.
⏱️ Define storage period
The standard retention period is set to 3 months.
If you apply specific retention periods, please share these with iLost support so they can be configured in your account.
