This article explains how to efficiently register a found item.
Log in to your iLost for Business account. You can report a found item by clicking on the blue button: '+ Add item'. If you use a phone or tablet, you can press the blue plus button.
Always start by entering the title of the item. Examples are: Bag, Backpack, Mobile Phone, Wallet, Cardholder, Jacket, Tablet, Laptop, Key, Ring, Gloves, Scarf, Charger, Card/pass etc.
Please note: When starting to type you will see a list of item suggestions. Please select a suggestion in the dropdown. Only in exceptional cases add a new item.
Does this concern a report of multiple individual lost items? Then you can add them together in one registration.
Is there a picture available of the lost item? If so, upload the image using the two available upload options: Upload the photo: either by using your phone, tablet, or PC(webcam) camera, or by selecting an existing photo.
*You can take multiple photos of the item.Describe the verification characteristics of the item that will allow you and your colleagues to easily verify that it matches the description given by the possible owner. These are characteristics that only the rightful owner knows about his item. The owner typically describes the most valuable parts of the item in question. The control characteristics input fields differ by item type. For example, a wallet has different fields than a phone or backpack.
Storage location: This is not a required field and can be filled in if your organization uses this feature. Select the desired storage location from the various options (Administrators can set up these locations in the company settings).
Send owner notification: This is not a required button but can be filled in if your organization uses this feature. If the email address or telephone number of the possible owner is known, you can immediately notify the possible owner of the lost item via this button. By filling in the name and the email address or telephone number, the owner will immediately receive an email and/or SMS. The possible owner still has to submit a claim as proof to confirm that the item is actually his/hers.
The item owner is known, I would like to send the match confirmation directly
If the owner of a found item is known, you have the option to send the match email directly to the owner. This allows you to skip the matching process entirely, and the owner can immediately select a return option from the match email. You can send the match confirmation directly when registering an item using the "Owner already known?" button or via more actions for an already registered item.
Once all the information has been entered, click on the blue “Complete” button. The system generates an unique item number. Print the sticker or QR label sticker and attach it to the item.
Editing reported items
After an item has been reported and provided with an item number, the data of this item can still be edited and/or deleted. Please note that this is only possible within a short period of time after publishing the item, and when there is still no submitted claim by a claimant. To edit items, select an item. Adjacent to the title, you'll see a pencil icon; simply click on it to commence editing. Additionally, there's a trash can icon available; selecting it will delete the item from iLost. This action is permissible within 7 days of registration and in the absence of any claims. Please be aware that deleting an item is irreversible. Administrators can delete items at any time.
Add an item note
On the item level, you have the option to create internal notes for your colleagues. To accomplish this, click on the "More actions" button and choose "Add note." This action will prompt a text window to appear, allowing you to input your note. The system logs both the author of the note and the timestamp when the note was placed.
